Primary Responsibilities
The Administrative Project Coordinator will work with Project Managers and other technical team members in support of transportation, resources, water and wastewater engineering, planning or environmental projects.
The duties of the Project Coordinator may include any or all of the following, depending on the needs of Project Managers and candidates’ qualifications, experience and abilities:
Work with multiple Project Managers and project teams as needed Assist Project Managers with understanding project financials in our reporting systems.
Coordinate and complete data entry of project progress updates.
Coordinate with project team members on the completion of documents, including supporting the formatting, word processing and organizing of project documents, reports, specifications, and correspondence.
Apply company quality management system (QMS) and quality assurance guidelines and procedures for project document management throughout project and complete documentation for quality management.
Assist with both general and project-related meetings and presentations by coordinating schedules, reserving meeting rooms and recording meeting minutes.
Set up administrative systems and manage project information including hard-copy and electronic files.
Provide document control for specifications, construction submittals, RFIs, and/or design reports by distributing the documents, tracking the progress of the documents, and communicating the status of the document reviews to the Project Team.
Develop and edit PDF files, Word documents and templates, Excel spreadsheets, charts, and PowerPoint presentations based on input from project team members.
Prepare new project initiation documents per HDR quality procedures including project management plans, quality management plans, safety plans, etc.
Be responsible for uploading documents to our in-house filing systems (ProjectWise) and coordinating the documentation with client-based systems (if different than ProjectWise).
Develop and maintain a schedule for Project Reviews with the Project Managers and management team.
Assist in scheduling, conducting, and monitoring the reviews.
Assist with preparing expense reports and booking travel for team members.
Assist with preparing project progress reports for monthly invoicing.
Assist with project closeout duties and preparing files to be archived.
Work collaboratively with peers in Omaha, Des Moines and other HDR offices.

Qualifications
Required Qualifications
Associate degree in a closely related field or combination of education and relevant experience.
A minimum of 2 years related experience.
Proficiency in Microsoft Word, PowerPoint and Excel.
An attitude and commitment to being an active participant of our employee-owned culture is a must.
Highly organized, detail oriented, strong communicator.
Billing and financial management experience.
Excellent at multi-tasking with minimal supervision.
Preferred Qualifications
Bachelor's degree preferred.
Adobe Acrobat or Bluebeam ReVu PDF editing software experience preferred.
Experience working on large projects preferred.
Preference given to local candidates.
